The HR software your people will love

Stop losing time on clock-ins chasing people on approvals on paperwork pulling scattered data together on receipts on job reports on payroll data

A huge part of admin work is reminding other people what they have to do. BadgeBox handles it as the month goes by, and only comes to you when a decision is needed.

Fifteen days with everything switched on · no credit card · up and running in an afternoon

The same things done on the phone and seen on the computer: clocking in at the workplace, the expense note, the holiday request and the payslip

No more chasing people.

  • “You forgot to clock in.”
  • “Can you approve my holiday?”
  • “I’m missing the supporting document.”
  • “Can you send me the job report?”

A huge part of admin work is simply reminding other people what they have to do.

Holidays, supporting documents, approvals and job reports keep moving without you having to remind everyone.

Holiday and time-off requests waiting for approval

Wherever they work, you always know who’s in and where they’ve worked.

Offices, building sites, shops, clients, business trips and remote work. People clock in where they work and you collect attendance in one place, without having to reconstruct afterwards where and when they worked.

On site, people clock in from the phone In the shop, the badge is tapped on the tablet at the entrance In the kitchen, the shift change between those coming in and those going out

Smartphone, GPS, NFC or tablet. And if there is no connection, clock-ins stay on the phone and sync as soon as it comes back.

Four ways to clock in. One timesheet.

The browser for those already at a computer, the phone for those working outside, the watch for those with their hands full, the tablet at the entrance for everyone else.

one for everyone, with an NFC badge

Web, smartphone, NFC or tablet: the way people clock in changes, the way you keep track doesn’t.

And then there is everything that sits around attendance.

Same place, same people inside, same permissions. There is no second application to open and keep aligned.

  • Shifts

Availability, rest days and cover are matched up automatically. You’re left with only the decisions that matter.

  • Leave and time off

Every request has a path. Every balance is up to date. No more piecing things together at the end of the month.

  • Expense notes

Snap the receipt. BadgeBox does the rest.

  • Timesheets

They build themselves from the clock-ins as the month goes by, with nothing copied out by hand.

  • Calendar

Attendance, absences and holidays for everyone on a single grid, month by month.

  • Job reports

The hours land on the right job and the right client, not on a separate sheet.

  • Documents

Payslips and contracts delivered to your people, signed with a code and filed where you can find them again.

  • Org chart

Who reports to whom. And that is how BadgeBox knows who has to approve what.

  • Locations

Offices, sites and shops, each with the area inside which a clock-in counts.

  • Rules

Working hours, overtime, breaks and supplements: you write them once and they apply from then on.

  • Performance

Hours, costs and anomalies already totalled, by person, by department and by period.

  • Onboarding

A new starter arrives with their data, their documents and their permissions already in the right place.

Contracts and company policies signed without printing a thing.

You send the PDF, the person opens it on their phone and signs it with a code they receive by email or SMS. The original and the signed copy stay in their documents.

  1. You upload the PDF to the person’s profile and tick “Request signature”. In onboarding it’s one step of the path.
  2. The person gets the link, reads the document and asks for the code: it arrives by email or SMS.
  3. They type in the code and their name. The document is signed, with a stamp on every page.
  4. The original and the signed copy stay in their documents, and you follow every signature from a single table.

Simple electronic signature, admissible as evidence across Europe (eIDAS): file fingerprint, one-time code and a trail of every step.

Included in the Core, Plus and Premium plans.

The work done during the month automatically becomes your payroll data.

Your people have already clocked in. There is no second round of collecting to find out what the work cost, and no third one to send the data to whoever prepares the payslips.

  • See straight away which jobs are making money and which are costing you too much.See costs, hours and margins while the job is still open. While you can still act.
  • The payroll file is ready when you need it.You set up the format once. From then on, the file for your accountant prepares itself.
  • Your accountant keeps working the way they always have. They receive what they have always received, in the format they already use.
  • Or take payslips off your to-do list as well. With HR Work, payslips are processed by a dedicated consultant.

AI does not give you one more thing to do. It does them for you.

One thing is left, and it’s a decision. You’ll find it ready for you.

  1. Attendance data

Attendance data: the raw clock-ins, day by day

    What you’d do

    1. Open yesterday’s records.
    2. Scroll right to the bottom of the list.
    3. Note down the six with no clock-in.

    06:00 The agent does it

It goes through yesterday, thirty-four people one by one. Six have no clock-in.

  2. Leave management

Leave and time-off requests, with the ones already approved

    What you’d do

    1. Open the requests for those days.
    2. Check one by one who was on leave.
    3. Go back and take them off the list.

    06:04 The agent does it

Two of those six had approved leave: they’re not a gap, so it leaves them alone. That leaves four.

  3. 06:06

It writes to the four people left. Not the same message to everyone: each in their own language, and without telling anyone off.

Hi Marco, there’s no clock-in for you yesterday and no approved absence. Did you forget? Reply here and tell me what happened.
  4. Timesheet

The period’s timesheets, with the ones still to be sent

    What you’d do

    1. Open the period’s timesheets.
    2. See who hasn’t sent theirs yet.
    3. Write to each of them, and make a note.
    4. Three days later, check again and chase again.

    09:30 The agent does it

The timesheets for the period: nine haven’t come in yet. It reminds each person once — not every morning — and after three times it lets it go instead of nagging.

Left to you: whoever still hasn’t sent it after three reminders. There are few of them, and it knows who.

  5. Expense notes

Expense notes with the receipt attached

    What you’d do

    1. Open the expense notes to check.
    2. Open the attached receipt.
    3. Compare the amount with the one entered.
    4. If it doesn’t match, ask the person.

    11:15 The agent does it

It opens the receipts attached to expense notes and compares the amount with the one declared. It only asks questions where the two don’t match, and it looks at each receipt just once.

Left to you: the refund. They prepare and explain, but money is moved by a person.

  6. 14:20

Marco replies from his phone on his way back from the site. It reads the reply, says thanks and closes the conversation.

Yes, I forgot. I’ll sort the day out myself as soon as I get in. Marco Ferri
  7. 17:40

And one thing it prepared without doing: approving Sara’s holiday. That’s a decision about a person, and it doesn’t go ahead on its own — it waits for your yes, with the reason next to it.

Guardali al lavoro, uno per uno

Still have a few doubts before you try it?

“Do we have to change how we count hours?”

No. You describe your rules in plain words and they become the calculation. We count the way you count.

“And those without a smartphone?”

An NFC badge, or a tablet at the entrance. Nobody is left out and nobody buys hardware from us.

“How long does it take to switch on?”

One afternoon for people, locations and shifts. The first timesheet comes out on its own at the end of the month.

“And if it does not work for us?”

Fifteen days with everything switched on, no credit card. If it does not add up, you pay nothing.

“If an employee leaves, do I lose the licence?”

No. The licence is not tied to the person: you reassign it to whoever takes their place.

“Where is the data, and who sees it?”

On an encrypted channel, with a permission for each of the nineteen sections: you decide who sees what. ISO 9001 and 27001.

The attendance of a twelve-person site and that of a multinational run on the same software. BadgeBox is part of the Adecco Group, is certified ISO 9001 and ISO 27001 with Modello 231 and a whistleblowing channel, and is developed and maintained in Rome.

Frequently asked questions

What if I have 20 employees?

You can choose the 25-licence bundle, or a 15-licence bundle plus 5 single licences. We show you the best-value combination when you buy.

Can I change plan?

Yes, at any time: an upgrade takes effect immediately, a downgrade from the next renewal.

How do AI credits work on Core?

Core includes 50 one-off trial credits, to get to know the AI assistant. To keep using it, move to Plus, which includes 100 every month and allows top-ups.

Do unused credits roll over?

The credits included in the plan renew every month and do not roll over. Base, Boost and Ultra top-ups do not expire.

Is the electronic signature legally valid?

It’s a simple electronic signature: it is admissible as evidence throughout Europe (eIDAS regulation), and the signed document carries the file fingerprint, the code used and a trail of every step. It works for company policies, notices, handovers and contracts with no required form; for documents the law requires in writing you need an advanced or qualified signature.

Some companies don't fit on a pricing card.

Above seventy people, or with several sites, several contracts and shifts that keep changing, no card looks like you. Tell us how you work and we will answer with a price, not a price list.

  • A person replies to you, within one working day
  • We look at your case before we name a number
  • No commitment, and no credit card

BadgeBox doesn’t end when you buy the software. That’s where we start helping you.

We don’t leave you with software to set up and figure out on your own. We help you bring it into your company, set it up and use it in everyday work. Fewer things to do, and more help when you need it.

Rather see it first? Half an hour together, on your own shifts.
